How to Add and Manage Stock in Warehouses or Vans

Add and manage stock in warehouses and vans, set min/max levels, and configure warehouse locations in FieldInsight.

Having access to products in the system is not enough—knowing how much stock is available is key to efficient work and planning. Once you’ve added products into FieldInsight, the next important step is configuring warehouses in the system and entering stock levels for each product.

Configuring Warehouses

Start by adding all warehouse locations to the system. This is done directly from the Products page (Left Menu > Inventory > Products). Once you’re on that page, click the Settings button and select Edit Warehouses from the dropdown menu.

A pop-up window will appear where you can manage warehouses—create new ones, edit existing ones, or change the order in which they appear. To add a new warehouse, click on + Item. Enter a name for the warehouse (this is how it will appear in FieldInsight), add an External ID if it has one, and tick Default if you’d like it to be the system’s default warehouse. When you’re finished, click Create to save the warehouse.


Add Stock to a Van or a Warehouse

In FieldInsight, you can add stock to both warehouses and vehicles. Before doing so, you’ll need to activate this feature in your settings: Go to the orange cog > Settings > Inventory > General and enable the Show stock on technicians and units option.

To add stock, navigate to a specific product (Left Menu > Inventory > Products). From the product list, locate the product you want to manage and click the number in the Stock column.

Here, you’ll see stock levels for this product across all warehouses and vans (if enabled). This view allows you to define both current stock levels and stock thresholds.

On this page, you can configure the following:

  • Stock: The current available quantity.

  • Minimum Stock: The minimum amount each warehouse or van should hold. When this level is reached, FieldInsight will auto-calculate the required quantity to restock.

  • Maximum Stock: The upper limit for stock in each warehouse or van.

Once all fields are configured, click Save. You’ll then be able to view updated stock levels directly from the Product list.
