Configure the Calendar Settings

How to configure the calendar settings for yourself, set the default view, and customise it for specific team members.

FieldInsight allows you to customise how the calendar appears in the system. If you are a scheduler with access to settings, you can configure the following calendars:

  • Your Calendar – Your personal calendar settings.

  • The Default Calendar View – The standard calendar configuration for all users.

  • Individual Staff Calendar Views – Specific settings for individual users.

Since the core settings for each calendar type are the same, we will first go through how to edit your calendar view and then explain how to access other calendar profiles.


Your Calendar Settings

To configure your personal calendar view:

  • Click the ⚙️ (Settings icon) in the top-right corner.

  • Select Settings from the dropdown menu.

  • Navigate to Work → Calendar

General Visual Configurations of the Calendar

These settings affect both the functionality and appearance of your calendar.

  • Default calendar view - Defines what the calendar displays (Technicians, Units, or Both).

  • Default time period - Choose how the calendar is displayed: Day View, Weekly View, Month View, Project View, or Team View.

  • Home page - Select whether Calendar View or Follow-Up Report View is the default page after logging in.

  • Columns and rows (width and height) - Adjust the size of individual calendar elements for better visibility.

  • Default side panel - Choose whether the calendar's side panel displays Technicians or Unscheduled Jobs.

Callendar Settings

These settings focus on functionality and additional display options.

  • Show Job Revenue by Technician on the Day view - Displays the total earnings generated by each technician in the Day View.

  • Filter bucket list by user groups - Restricts the calendar view to only show users or units within the same group.

  • Default rotated view - Toggle between showing all users/technicians in the calendar or only displaying your calendar.

  • Show schedulers group's by default -

  • Use job type color for job box headers - Select whether the job box header is coloured based on Job Status or Job Type.

  • Job box body color - Choose whether the body of the job box displays the Job Status Colour or Project Colour.

  • Display Job Shift on Projects Calendar View - Show which shift a job belongs to in the Projects View.

Configure the Job Box

The job box is where key job information is displayed on the calendar. Since job boxes can vary in width depending on screen space, it is important to configure both narrow and wide views to ensure all relevant information is visible. Both views share the same structure, so we will focus on one example.

To configure the job box:

  • Locate the section where each piece of information should be displayed.

  • Click on the existing text field, delete the text if needed.

  • Click the "+" button to add placeholders.

  • Select the relevant placeholder and click "Insert Placeholder".

  • Add as many placeholders to each section as needed.

Saving your Calendar

After making your changes, click the "Save" button at the bottom of the page to apply them.


Configure Your Business Default Calendar View

If your business requires all users to have the same calendar configuration, you can set a default calendar view for the entire system.

To access and edit the default calendar settings:

  • Click the ⚙️ (Settings icon) in the top-right corner.

  • Select Settings from the dropdown menu.

  • Navigate to Work → Calendar

  • Click the "Edit Default" button on the bottom right.

  • Adjust the settings as needed and save.

The available configuration options are the same as those in the personal calendar settings.


Configure an Individual User’s Default Calendar

If a specific user requires a different calendar view but does not have access to settings, a scheduler with permissions can configure it on their behalf.ndar.

To modify an individual user’s calendar settings:

  • Click the ⚙️ (Settings icon) in the top-right corner.

  • Select Settings from the dropdown menu.

  • Navigate to Work → Calendar

  • Click "Edit Default" at the bottom.

  • On the next page, click "Individual User Settings" in the top-right corner.

  • Select the user’s name to load their calendar settings.

  • Make any necessary changes and save.
