Create a Job

A new job walks through the door — could be via phone call, email, etc. Time to wrangle it into the system.

👇 Step-by-step: Where do you start?

  • Schedule Page → This is your command centre.

  • Add Job (under the mini calendar) = Unscheduled Job (just loitering for now)

  • Add Job (top of main calendar) = Scheduled Job (ready for action)

  • Quick Job = For when you're in a hurry or the kettle’s about to boil

  • Hover on the calendar = Spy on available time slots

👤 Confirm Customer Info Like a Pro

We love our customers, but we also like to keep things tidy:

  • Is the client already in the system?
    ​

    • Yes → Select them (no need to reinvent the wheel)

    • No → Ask nicely for:

      • Business Name

      • Customer Name & Address

      • Contact Details
        ​

  • Is the site already in the system?

    • Yes → Confirm it’s still the same

    • No → Gather:

      • Site Address

      • Access restrictions

      • Contact details

      • Safety/Induction info

Think of it like prepping for a camping trip. You want to know where you're going, who’s around, and if there’s a toilet.


📝 Job Details Section

Time to roll up your sleeves and get the job prepped.

  • Date & Time → Even if it’s just a guess, chuck it in

  • Unscheduled Checkbox → Tick it if it’s just floating for now

  • Job Title → Something clear and helpful (not “stuff”)

  • Workflow → Pick the relevant process like a seasoned operator

  • Status → Usually “Tentative” for new jobs

  • Job Type → Helps with sorting and sanity

  • Safety Docs → Assign what the techs need

  • Technicians → Optional at this stage (we’re chill)

  • Job Notes → More is more. Fault codes? Weird customer habits? Chuck it in.

  • Repeats → Daily, Monthly, or Every Third Tuesday on a Leap Year? You decide.

Then hit SAVE (our fave button 💾).


🧰 Assigning an Asset/Test

  • Check if the Asset is already in the system

  • If yes → Confirm the details

  • If no → Gather:

    • Asset ID

    • Client Reference

    • Make, Model, Serial

    • Asset location
      ​

  • Add any planned tests, tick “For this Job” to link it all up


💸 Final Things to Confirm with Client

Before you close the call/email/interpretive dance:

  • Service Rates

  • Call-out Fees

  • Agreement Details


Schedule a Job

Now that the job’s ready, let’s make it official. Like asking the job out on a date.

Before moving it to “Scheduled”:

  • Confirm the site info again (double check the loo situation)

  • Confirm time with client

  • Confirm your techs are available and know their stuff

  • Confirm equipment/vehicle availability if relevant

🚀 Where to Monitor and Schedule:

  1. Schedule Page (Calendar)

    • Drag and drop unscheduled jobs into free slots

    • Hover → Update status to “Scheduled”
      ​

  2. Jobs Page

    • Click on the “Unscheduled” tab to see what’s pending

    • Open job → Assign techs and time

    • Untick “Unscheduled”

    • Update status to “Scheduled”
      ​

  3. Follow-Up Report

    • Use filters to find Unscheduled jobs

    • Open job → Do your thing

    • Save & update status
      ​


Office Review

What if the Job is set to Incomplete by the Technician?

You’ll see it flagged in the calendar or in your reports.

  • Review why it was left incomplete

  • Talk to the tech or the client as needed

  • Create a Return Visit using Ongoing Job

    • Keep workflow & job type

    • Add notes, adjust as needed


What if the Job is Completed?

Same thing — track it via calendar or report view.

  • Review job notes, attachments, previous visits

  • Determine if invoice is needed

    • Plan? Return visit billing? Figure it out

  • Generate Service Report if needed

  • Add any final notes

  • Go to Sales Invoice tab → Create invoice

  • Update details → View PDF

  • Send invoice + attach Service Report if needed

  • Sync to accounting software

  • Update status to “Invoiced”
