Add Product Images to Quote PDFs

FieldInsight allows you to automatically display product images from inventory items on your quotes.

This is useful when you want customers to see exactly what products or equipment are included in a quote. You can also choose which images to include before generating the final Quote PDF.

What this feature does

When an inventory item with an image is added to a quote, FieldInsight can automatically display that image within the relevant quote section.

Before sending the quote to your customer, you can:

  • Automatically include images attached to inventory items

  • Preview the images on the quote

  • Remove individual images that are not relevant

  • Group products into different quote sections or options

  • Display a subtotal for each section

This is particularly useful when presenting customers with different packages or options.


Before you start

There are a few settings that need to be enabled before product images will appear on your quotes.

1. Enable the Inventory Image Gallery

Go to:

Sales > System Fields > Quotes

Find Inventory Image Gallery and enable it.

This allows inventory images to be used within quotes.


2. Update your Quote Template

Go to:

Sales > Quotes > Templates

Open the Quote Template you want to use.

Make sure the following settings are enabled:

  • Show Sections

  • Show Item Images under Sections

These settings allow product images to appear within each section of the Quote PDF.

Optional: Show Subtotals under Sections

You can also enable:

Show Subtotals under Sections

This is useful when your quote contains multiple options or packages.

For example:

Option 1 – Supply Only

Products and materials can be grouped into one section with its own subtotal.

Option 2 – Supply and Installation

Products and services can be grouped into another section with a separate subtotal.

This makes it easier for your customer to compare the cost of each option.


3. Add Images to Your Inventory Items

Before creating the quote, make sure the products you plan to use have images attached to their inventory records.

When an inventory item containing an image is added to the quote, the image can automatically appear in the quote's image area.

If an item does not have an image attached, there will be no product image available to display.


4. Create Your Quote

Go to:

Sales > Quotes

Select + Add Quote.

Complete the required quote details, then go to the inventory area of the quote.


5. Create a Quote Section

Add a section and give it a descriptive name.

For example:

Option 1 – Supply of Sprinkler Heads

You can then select + Item > Add Product and choose the required inventory products.

If the products have images attached, their images will automatically appear in the image area for that section.


6. Choose Which Product Images to Show

You do not have to include every available product image.

If an image is not relevant to the customer, simply untick it from the image gallery on the quote.

Only the selected images will appear when the quote is generated.

This allows you to automatically bring product images into the quote while still controlling what the customer sees.


7. Add Additional Options

You can create additional sections when you want to give your customer multiple choices.

For example:

Option 1 – Supply Only

Add the products included with the supply-only option.

Option 2 – Supply and Installation

Add the relevant products and installation services.

If Show Subtotals under Sections is enabled on your Quote Template, each option will display its own subtotal.

This makes it easy for the customer to understand the price of each package.


8. Preview the Quote

Once your sections, products, services, and images have been added, select Preview.

Check that:

  • The correct Quote Template is selected

  • Sections appear correctly

  • The correct product images are displayed

  • Unwanted images have been unticked

  • Section subtotals are displayed if required

You can return to the quote and make changes before generating or sending the final Quote PDF.


Example

A quote could be structured like this:

Option 1 – Supply of Sprinkler System

  • Sprinkler product

  • Additional equipment

  • Product images

Subtotal: $X,XXX

Option 2 – Supply and Installation

  • Sprinkler product

  • Installation service

  • Additional equipment

  • Product images

Subtotal: $X,XXX

This gives the customer a clear visual overview of the products included in each option as well as the cost of each package.


Summary

To display product images on Quote PDFs:

  1. Enable Inventory Image Gallery.

  2. Enable Show Sections and Show Item Images under Sections on your Quote Template.

  3. Add images to your inventory products.

  4. Add those products to sections within your quote.

  5. Untick any images you do not want to include.

  6. Preview the quote before generating the final PDF.

Using product images together with quote sections and subtotals can make quotes easier for customers to understand, especially when presenting multiple products, packages, or service options.
