Overview
The Customer Status system field can be used to identify account customers that are currently on credit hold.
When a customer is assigned a status marked as Credit on Hold, schedulers may receive a warning when creating certain transactions for that customer, including:
Creating or scheduling a job
Creating a quote
The warning helps users identify customers whose credit status should be reviewed before proceeding.
Step 1: Enable the Customer Status Field
Open Settings.
Go to Business.
Select Customer.
Open System Fields.
Find Customer Status.
Enable the field.
Save the page
Once enabled, the Customer Status field will be available on account customer records.
Step 2: Create Customer Status Options
Return to the home page.
Open an Account Customer record.
Expand the customer details section.
Find the Customer Status field.
Open the dropdown list.
Create the required status options, such as:
You can create additional statuses based on your business requirements.
Step 3: Mark a Status as Credit on Hold
Click "Edit" relevant customer status.
Enable the Credit on Hold checkbox.
Save the status configuration.
The information icon beside this setting explains that the status identifies the account as being on credit hold.
Schedulers will receive a warning when they attempt to create supported transactions for that customer.
Step 4: Assign the Status to a Customer
Open the relevant Account Customer record.
Locate the Customer Status field.
Select the status configured as Credit on Hold.
Nominate a color
Save the customer record.
The account customer is now flagged as being on credit hold.
When the Warning Appears
Jobs
The credit hold warning appears when creating a job and selecting either:
The account customer that is on credit hold
A site linked to the account customer that is on credit hold
The warning may appear after the customer or site has been selected and the job is saved.
Quotes
The warning appears when the Account Customer that is on credit hold is selected as the quote recipient.
Current Quote Limitation
The warning may not appear when:
The Site Customer is selected as the quote recipient, and
The selected site is linked to an account customer that is on credit hold
To ensure the warning is displayed, select the Account Customer as the quote recipient.
Important Notes
The credit hold setting does not prevent users from creating the transaction.
It displays a warning so the scheduler can review the customer’s credit status before proceeding.
The warning currently applies primarily to job and quote creation.
Behaviour may differ depending on whether the account customer or site customer is selected as the transaction recipient.
