How to Create a Project Budget Quote in FieldInsight

A Project Budget Quote in FieldInsight lets you create a reusable quote structure that can later flow directly into a Project Budget. This saves you from manually setting up the budget every time you start a new project.

Why use a Project Budget Quote?

Instead of building a project budget from scratch for every new project, you can:

  • create a quote with your stages, cost codes, and items

  • save it as a template in your Library

  • reuse it for future customer quotes

  • convert an accepted quote into a Project Budget

This is especially useful for repeatable project work.


Step 1: Create a Project Quote

To get started:

  1. Go to Sales

  2. Select Quotes

  3. Click + Add Project Quote

This opens the Project Quote structure.


Step 2: Build the quote structure

Inside the Project Quote, you can organise the quote into stages.

For example, you might create stages like:

  • Installation

  • Admin

Under each stage, you can then:

  1. add a Cost Code

  2. add Line Items under that cost code

Example

Under the Installation stage, you might:

  • choose a cost code such as Project Engineer

  • add a Service item like General Labor

  • enter the quantity, such as 10 hours

  • add other items, such as Products, where needed

You can repeat this process for each stage.

For example, under the Admin stage, you can add another cost code, select the relevant item, and enter the required hours.


Step 3: Add extra quote information

Each stage can also include additional details.

You can add:

  • a stage description, such as Installation Works

  • extra text or notes

  • images that will appear in the Quote PDF

This helps provide more context for the customer when they review the quote.


Step 4: Save the quote to the Library

Once you’ve built your Project Quote, you can save it to the Library so it can be reused later.

To do this:

  1. Return to the Quotes list

  2. Find the quote you created

  3. Click the down arrow next to the quote number

  4. Select Add to Library

Once added, the quote will appear in the Library.

When you open it from the Library, you’ll be able to see the stages, such as Installation and Admin, and expand them to review the structure.

You can also rename the template so it is easier to identify later, for example:

  • Construction Work Template

  • Installation Template

Some fields may appear in the template form, but these can be ignored if the quote is only being used as a reusable template.


Step 5: Use the Library quote for a new customer quote

When you need to send a quote to a customer using that template:

  1. Go to Quotes

  2. Open the Library

  3. Find the relevant Project Quote template

  4. Click the down arrow

  5. Select Use

This creates a new quote based on the template.

From there, you can:

  • select the customer

  • complete the relevant quote fields

  • update the stages, items, or quantities as needed

For example, you may decide to add extra items to the Installation stage or adjust quantities before sending the quote.

You can also use Preview to check how the quote will appear, including the listed items.


Step 6: Convert an accepted quote into a Project Budget

Once the quote has been accepted, you can convert it into a Project Budget.

To do this:

  1. Update the quote status to Quote Accepted

  2. Scroll down and click Create Project Budget

FieldInsight will then let you choose the project the budget should be copied to.


Step 7: Create the project

If the project does not exist yet, you can create it from the quote.

To do this:

  1. Click + Add Project

  2. Enter the project name

  3. Set the Tentative Start Date

  4. Assign the Project Manager

  5. Choose the Project Status

  6. Click Save

Once the project is created, you can continue and generate the Project Budget.


Step 8: Review the created Project Budget

After creating the Project Budget, FieldInsight will copy across the structure from the Project Quote, including:

  • stages

  • cost codes

  • items

For example, if your quote included Installation and Admin, those stages will now appear in the Project Budget.

You’ll also be able to review:

  • the Budget Summary

  • the Cost Budget

  • the Sales Budget


Final result

Without a Project Budget Quote, you would need to manually create each stage and add the budget details every time.

By using a Project Budget Quote, you can:

  • build the structure once

  • save it as a template

  • reuse it for future quotes

  • quickly create project budgets for new projects

This makes project setup faster and more consistent.
