What are Customer Accounts, Sites, Contacts, and Jobs in FieldInsight, and how do they relate to each other in the system.

One pivotal aspect of working with FieldInsight is understanding the core structure of elements in the system. This knowledge will help you manage client data efficiently while handling jobs and other tasks.

What Are Account Customers, Sites, Site Contacts and Jobs?

These terms will be frequently referenced in FieldInsight, so it is important to understand what they mean and how they relate to each other.

  • Account Customer – This is your client or the account being charged for services provided across multiple sites.

  • Site – The location where work is performed or the person/entity being charged for services rendered.

  • Site Contacts – Contacts associated with a Site Customer, including first name, last name, mobile number, phone number, etc. This is useful if there are multiple contacts for a Site Customer.

  • Job – A task or series of tasks scheduled to complete a service.

These terms are not just separate elements; they are interconnected in a way that technicians should understand.

FieldInsight uses these relationships to structure Account Customers, Site Customers, and Jobs effectively.


Key Concepts and Recommendations

While the basics have been outlined, here are some important insights and recommendations regarding these elements:

  • An Account Customer can own multiple Site Customers, but a Site Customer can only belong to one Account Customer.

  • A job must be assigned to a Site Customer, which represents where the work is scheduled to take place.

  • A Site Customer can have multiple jobs assigned. You can invoice, send reports, and create quotes for a Site Customer, but we recommend using Account Customers for financial transactions.

  • Site Customer information is available for all jobs. We recommend recording essential site details under the Site Customer profile rather than repeating them on each job (e.g., access requirements).

  • Each job is tied to a single site and cannot be linked to multiple locations.

  • If a job is assigned to a Site Customer that is "owned" by an Account Customer, the job will also be linked to the Account Customer.
