How to get started with customer asset management

AssetINSIGHT is designed for anyone who is managing customer owned assets. Like a HVAC unit or a piece of machinery that you install, repair or service.

There are two parts to setting up asset management:

1. The assets owned by the customer

2. The tests that you do in the field for installation/repair or service to create the maintenance history of that asset.

In this document lets run though how to set up an asset against a site customer

Once you have upgraded your plan the team at FieldInsight will enable Asset Management for you

Step 1

Set up the asset types

Type in all the different asset types that you look after

Now it is time to add the asset details to your site customer.

Step 2

Add an asset to the site customer

There are Multiple Ways to add an asset on to a site customer. Pick which way will work better for you.

1. From the asset page

If you add the asset from this view you will need to select the site customer that it is linked too.

2. From the site customer

If you add an asset from this view the site customer will already been associated with the asset.

After selecting Site Customer from the horizontal tab menu, select Assets and then Add Asset for this Customer.

3. From the job for the site customer

Fields Explained

If the fields when generating an asset are not all suitable you may hide some of them and also make them necessary by going to Settings > System Fields and looking for the Assets > Scheduler section.


Asset custom fields

If you want to create more fields that are appropriate to your particular assets then you can via custom fields

You can add any field you want to an asset using the Asset custom field. The Asset custom fields work the same as any other custom fields, to add a new field to you assets go to settings - custom fields tab. Scroll down to Assets and click add field.

The type of fields are the same as our other custom fields. Check out the Asset custom fields article to learn more. 

Primary location

If this is the first time you are adding an asset to a customer you might like to set up the locations. This is especially helpful when you are dealing with a large site with multiple assets. It will help you staff know where the asset is located

As each site is very different we didn't want to make you scroll threw hundreds of options, so you can added in the locations that are specific to that customer

Secondary Location

If the site is big enough you can add in the same way,

Tertiary Location

If this is an installation job you can add in your staff members name here for future reference

Pick the installation date

If there is an Expiry date

Commissioning date

Enter in make model and serial number as well the Supplier if needed.

Remember to hit Save

If you are adding multiple assets for one site you are able to use the Duplicate button to make it easier by Selecting the Duplicate below.

Update the details for the next asset and then hit duplicate again

The duplicate button automatically saves and duplicates

Sub Assets

Sub assets should be used instead of the quantity field for assets that are linked but have individual testing.

If you have several assets that you manage already we can import these for you.
